Reservation, Cancellation & Refund Policy

Effective Date: August 1, 2026

This Reservation, Cancellation & Refund Policy forms part of the Booking Agreement between the traveler ("Traveler," "you," or "your") and Earth Is A Lover LLC, doing business as Chosen Family Travel ("Chosen Family Travel," "we," "us," or "our"). By making a reservation, you acknowledge that you have read and agree to this Policy.

Our goal is to be transparent and fair. Because we operate intentionally small-group experiences, every reservation represents a meaningful commitment for both our travelers and our business.

1. Reserving Your Spot

A $500 USD deposit per traveler is required to reserve your place on the Sapphic Buenos Aires Experience 2026.

Your deposit:

  • reserves your place on the trip;

  • is applied toward your total trip price; and

  • allows Chosen Family Travel to begin planning the experience and making preliminary arrangements.

Your reservation remains pending until Chosen Family Travel confirms that the trip will operate.

2. Trip Confirmation

The Sapphic Buenos Aires Pride Experience 2026 requires a minimum of six (6) travelers to operate.

Chosen Family Travel will notify all travelers in writing no later than October 23, 2026, whether the trip has been confirmed.

Once you receive written Trip Confirmation:

  • your reservation becomes confirmed; and

  • you may purchase airfare and make other travel arrangements.

Until you receive written Trip Confirmation, we strongly recommend that you do not purchase non-refundable airfare or other non-refundable travel arrangements.

3. If Chosen Family Travel Cannot Operate the Trip

If Chosen Family Travel is unable to operate the trip because the minimum number of travelers has not been reached by October 23, 2026, you will receive a full refund of all amounts paid to Chosen Family Travel, including your deposit. 

When offered, a Traveler may voluntarily choose to apply the amount paid to another Chosen Family Travel trip. A Traveler will never be required to accept a credit instead of an available refund.

Refunds will generally be processed within fourteen (14) business days using the original payment method whenever reasonably possible.

Chosen Family Travel cannot reimburse expenses paid directly to third parties, including airfare, accommodations, travel insurance, visas, passports, or other independent travel arrangements.

4. If You Cancel Before Trip Confirmation

If you decide to cancel your reservation before receiving written Trip Confirmation, you may cancel at any time by notifying Chosen Family Travel in writing.

Because your reservation has held one of a limited number of spaces and planning has begun, the $500 deposit is non-refundable.

Any additional amounts you have paid beyond the deposit will be refunded.

5. If You Cancel After Trip Confirmation

After Chosen Family Travel issues written Trip Confirmation, Chosen Family Travel begins making non-refundable financial commitments on behalf of the group.

If you cancel after receiving written Trip Confirmation:

  • the $500 deposit remains non-refundable; and

  • all additional payments made toward the trip are non-refundable, except where Chosen Family Travel is able to recover funds from suppliers or fill your reserved space with another traveler.

If Chosen Family Travel is able to recover prepaid costs from suppliers or fill your reserved space with another Traveler, we may issue a partial refund. Any refund will be based on the costs actually recovered and is not guaranteed.

6. If Chosen Family Travel Must Cancel or Significantly Modify the Trip

Although we make every reasonable effort to operate each departure as planned, circumstances beyond our control may occasionally require us to cancel or significantly modify a trip.

Examples include, but are not limited to:

  • natural disasters;

  • severe weather;

  • civil unrest;

  • government travel restrictions;

  • public health emergencies;

  • supplier failures;

  • safety concerns; or

  • other circumstances beyond our reasonable control.

If Chosen Family Travel cancels the trip before departure for reasons other than a traveler's breach of the Booking Agreement, travelers will receive a refund of all amounts paid directly to Chosen Family Travel for the canceled services.

Chosen Family Travel's liability is limited to the amounts paid directly to Chosen Family Travel. We are not responsible for expenses paid to third parties.

7. No-Shows and Early Departure

No refunds will be provided for:

  • failure to arrive for the trip;

  • missed flights or other transportation;

  • unused accommodations;

  • unused meals or activities;

  • voluntary withdrawal after the trip has begun; or

  • early departure from the trip.

8. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance shortly after making your reservation.

Travel insurance may provide coverage for cancellation, trip interruption, medical emergencies, baggage loss, and other unforeseen events, depending on the policy purchased.

Travelers are responsible for selecting insurance appropriate to their individual needs.

9. Refund Processing

Approved refunds will generally be processed within fourteen (14) business days after the refund amount has been determined.

Actual processing times may vary depending on your financial institution or payment provider.

Traveler Acknowledgment and Electronic Acceptance

The Traveler’s full legal name, preferred name, applicable trip, and electronic acceptance will be collected and recorded through the booking checkout.

By checking the required acceptance box and submitting the booking, the Traveler confirms that they:

  • have read and understood these Booking Terms and Conditions;

  • have reviewed and agree to the separate Cancellation and Refund Policy;

  • have reviewed the trip description, inclusions, exclusions, and payment schedule;

  • understand that a deposit reserves a place but does not guarantee that the minimum group size has been reached;

  • understand that they should not purchase nonrefundable airfare or other independent travel arrangements before receiving written trip confirmation;

  • agree to comply with the Community Conduct requirements;

  • understand that international travel involves inherent risks; and

  • have had an opportunity to ask questions before making payment.

By checking the box and submitting the booking, the Traveler intends to provide an electronic signature and agrees to conduct the transaction electronically.
