BOOKING TERMS AND CONDITIONS

Please read these Booking Terms and Conditions before making a payment or confirming a reservation.
These Terms form a legally binding agreement between the person making or participating in the booking (“Traveler,” “you,” or “your”) and Earth Is A Lover LLC, doing business as Chosen Family Travel (“Chosen Family Travel,” “we,” “us,” or “our”).
By submitting a booking, paying a deposit or other amount, or electronically accepting these Terms, you confirm that you have read and agreed to these Booking Terms and Conditions and the documents incorporated into them.
1. Agreement and Company Information

Chosen Family Travel designs and coordinates small-group travel experiences. We may arrange accommodations, airport transfers, local transportation, activities, guides, meals, event access, and other services through independent suppliers.
Your agreement with Chosen Family Travel consists of:
these Booking Terms and Conditions;
the Cancellation and Refund Policy in effect when you book;
your booking confirmation, payment receipt, and invoice;
the final trip description, itinerary, and list of inclusions and exclusions;
any required liability waiver or participant information form;
the Chosen Family Travel Privacy Policy and, where applicable, Consumer Health Data Privacy Policy; and
any written special terms disclosed to you before booking.
If these documents directly conflict, your individual written booking confirmation or special terms will control, followed by the Cancellation and Refund Policy and then these Booking Terms and Conditions.
2. Eligibility and Community Purpose
Unless otherwise stated, Travelers must be at least 18 years old by the trip start date.
Chosen Family Travel creates intimate group experiences centered on community, culture, creativity, inclusion, and authentic local connection.
The Sapphic Buenos Aires Pride Experience is intentionally designed around the interests and experiences of sapphic and LGBTQ+ women and nonbinary travelers. All participants, regardless of identity, must understand and respect the trip’s community-centered purpose and Code of Conduct.
Submitting a booking does not automatically guarantee acceptance. We may decline a booking and promptly return the amount paid when:
the trip is full;
the requested accommodation is unavailable;
required information or payment cannot be verified;
the Traveler cannot meet an essential, legitimate trip requirement;
the Traveler is unwilling to comply with these Terms or the Code of Conduct;
prior documented conduct raises a material safety concern; or
accepting the booking would create a legitimate legal, safety, or operational problem.
Booking decisions will not be based on unlawful discrimination. Safety and participation decisions will be based on actual requirements, conduct, and reasonably identifiable risks rather than assumptions or stereotypes.
3. Booking, Deposit and Acceptance
To request a place, a Traveler must:
submit the required booking information;
pay the applicable deposit or trip price;
accept these Terms and the Cancellation and Refund Policy; and
provide accurate contact and identification information.
Unless different terms are stated for a particular trip, a $500 deposit per Traveler is required to reserve a place.
The deposit is applied to the total trip price and is not an additional fee.
A booking is accepted only after Chosen Family Travel sends a written booking confirmation. An automated payment receipt alone does not confirm that the application has been accepted or that the minimum group size has been reached.
If Chosen Family Travel declines a booking, all amounts paid for that booking will be returned.
The refundability of a deposit when a Traveler chooses to cancel is governed by the separate Cancellation and Refund Policy in effect on the booking date.
4. Minimum Participation and Trip Confirmation
Chosen Family Travel trips may require a minimum number of confirmed Travelers to operate.
The minimum for the 2026 Sapphic Buenos Aires Pride Experience is six paying Travelers, unless Chosen Family Travel confirms otherwise in writing.
A reservation and deposit secure a place but do not mean that the minimum group size has been reached.
Chosen Family Travel will notify booked Travelers in writing when the trip is officially confirmed to proceed. The 2026 Sapphic Buenos Aires Pride Experience will be confirmed or canceled no later than October 23, 2026.
We may confirm the trip earlier if the minimum enrollment is reached and the necessary arrangements are secured.
Important airfare notice
Until Chosen Family Travel confirms the trip in writing, Travelers should not purchase nonrefundable or nonchangeable airfare, lodging, transportation, or other independent arrangements.
Chosen Family Travel is not responsible for airfare, change fees, cancellation penalties, lost points, additional lodging, or other independently purchased expenses incurred before written trip confirmation.
Travel insurance may not cover cancellation caused by a tour failing to reach its minimum group size. Travelers should confirm the terms of any insurance policy directly with the insurer.
5. Trip Price and Final Payment
The trip price is the amount shown on the booking page, invoice, or written booking confirmation.
Unless different payment terms are stated for a particular trip:
a $500 deposit is due at booking;
the deposit is applied toward the total trip price;
the remaining balance of $1,500 is due no later than October 16, 2026;
bookings made on or after October 17, 2026 require payment of the full trip price at the time of booking.
Chosen Family Travel will confirm or cancel the trip no later than October 23, 2026.
Because accommodations and other arrangements must often be secured before final trip confirmation, final payment may be due before the minimum group size has been reached. If Chosen Family Travel later cancels the trip because the minimum group size is not reached, all amounts paid directly to Chosen Family Travel will be refunded in accordance with the Cancellation and Refund Policy.
If Chosen Family Travel cancels the trip, the deposit and all other amounts paid directly to Chosen Family Travel for the canceled trip will be refunded.
If a required payment is not received by its deadline, Chosen Family Travel may treat the booking as canceled by the Traveler and apply the Cancellation and Refund Policy. Before canceling for nonpayment, we will make a reasonable effort to contact the Traveler using the information provided.
Payment plans, if offered, do not change the total trip price or cancellation terms unless different terms are confirmed in writing.
Prices are stated and payable in U.S. dollars unless otherwise stated. Travelers are responsible for bank fees, card-issuer fees, foreign transaction fees, exchange-rate differences, and fees resulting from declined or reversed payments.
Chosen Family Travel may correct an obvious pricing or clerical error before accepting a booking. If an error is discovered after payment, the Traveler may accept the corrected price or receive a refund of the amount paid for that booking.
6. Trip Inclusions and Exclusions
Only services expressly identified as included in the final trip description, itinerary, booking confirmation, or invoice are included in the trip price.
Depending on the trip, included services may include:
accommodations;
designated airport transfers;
listed meals or refreshments;
scheduled group activities;
listed admissions or event access;
local guides or facilitators;
designated local transportation; and
trip-hosting and coordination services.
Included airport transfers apply only to the designated airport, dates, times, and meeting arrangements described in the confirmed itinerary or arrival instructions. Replacement transportation caused by a Traveler’s flight change, missed connection, delay, or failure to meet the scheduled transfer may be at the Traveler’s expense.
Unless expressly included, the trip price does not include:
international or domestic airfare;
passport, visa, entry, or immigration fees;
travel insurance;
meals or drinks not listed as included;
optional activities;
personal purchases and accommodation incidentals;
baggage fees;
medical care, evacuation, or repatriation;
tips not specifically included; or
transportation, accommodation, or activities arranged independently by the Traveler.
Photographs, sample itineraries, social-media content, and preliminary schedules are illustrative unless included in the final written itinerary or booking confirmation.
7. Accommodation and Room Arrangements
Unless a private room is expressly purchased and confirmed, Travelers should expect to share a bedroom with one other participant. Chosen Family Travel will not place more than two Travelers in one bedroom.
Room configurations, bed types, amenities, accessibility features, and building layouts may differ from those commonly found in the United States.
When separate beds are listed as included, Chosen Family Travel will make reasonable efforts to provide them. Any different sleeping arrangement will be disclosed before booking or as soon as reasonably known.
Roommate preferences may be requested but are not guaranteed. We may assign or change roommates when reasonably necessary for safety, privacy, accessibility, participant wellbeing, or operational reasons.
Private rooms may be available for an additional charge, subject to availability and written confirmation.
Serious safety, harassment, privacy, accessibility, or roommate-conduct concerns should be reported promptly so that Chosen Family Travel can assess reasonable next steps.
8. Passports and Entry Requirements
Each Traveler is responsible for:
possessing a valid passport;
confirming passport-validity requirements;
obtaining any required visa, authorization, permit, or entry document;
meeting immigration, customs, transit, vaccination, and health requirements;
ensuring that booking names match travel documents; and
determining whether their citizenship, residency, travel history, documentation, or personal circumstances affect entry or transit.
Travelers should confirm current requirements with the relevant government authorities, consulates, airlines, and transit countries before purchasing airfare and again before departure.
Information provided by Chosen Family Travel is general, may change, and is not legal or immigration advice. Chosen Family Travel does not guarantee entry into Argentina or any transit country.
Unless Chosen Family Travel cancels the trip, no refund is due when a Traveler cannot participate because of an invalid or missing passport, failure to obtain required documents, denied boarding or entry, or failure to meet applicable immigration, transit, customs, or health requirements.
9. Accessibility, Health and Participation
Travel may involve walking, stairs, uneven sidewalks, public transportation, crowds, changing weather, unfamiliar foods, and late-night events.
Travelers are responsible for reviewing the trip description and deciding whether they can safely participate, consulting an appropriate healthcare professional when needed.
Please contact Chosen Family Travel before booking, or as soon as possible afterward, to discuss accessibility needs and whether reasonable arrangements are available.
Travelers should disclose only those health, allergy, medication, mobility, or accessibility needs that may reasonably affect their safe participation or require an accommodation or emergency response.
Chosen Family Travel will make reasonable efforts to address disclosed needs. However, we cannot guarantee that every destination, building, vehicle, restaurant, activity, or independent supplier will be accessible or able to accommodate every request.
Travelers are responsible for carrying and managing their own medication and necessary medical supplies. Chosen Family Travel staff and guides are not medical professionals and cannot provide personal care or administer medication unless separately qualified and expressly agreeing to do so.
Failure to disclose a need that materially affects safe participation may limit our ability to assist and may result in exclusion from a particular activity when reasonably necessary to address an actual safety risk.
Health and accessibility information will be collected, used, protected, and shared only as described in the applicable Privacy Policy and Consumer Health Data Privacy Policy.
10. Travel Insurance
Travel insurance is highly recommended for every Traveler.
Chosen Family Travel strongly recommends that all Travelers purchase comprehensive travel insurance, including coverage for trip cancellation, trip interruption, emergency medical treatment, emergency medical evacuation, baggage loss, and travel delays. Travelers are responsible for determining whether their insurance adequately protects their individual circumstances.
Travelers should review coverage limits, exclusions, preexisting-condition provisions, claim requirements, and deadlines. Some benefits may be available only when insurance is purchased soon after the initial trip payment.
Chosen Family Travel is not an insurance provider and does not evaluate or advise Travelers regarding the adequacy of any insurance policy. Travelers are solely responsible for selecting any insurance coverage they choose to purchase.
11. Community Conduct and Removal
Travelers must behave in a manner that supports the safety, dignity, privacy, and reasonable enjoyment of the group and the communities visited.
Prohibited conduct includes:
harassment, discrimination, threats, violence, bullying, stalking, or unwanted sexual conduct;
illegal activity or dangerous intoxication;
serious violations of another person’s privacy, identity, boundaries, or consent;
photographing, identifying, tagging, or sharing sensitive information about another Traveler contrary to that person’s expressed boundaries;
exploitation or serious disrespect of local people, workers, communities, or cultural practices;
behavior creating a material safety risk or seriously disrupting the trip; and
refusal to follow reasonable safety instructions.
Travelers are responsible for their alcohol consumption and behavior. Alcohol use does not excuse harmful conduct.
Chosen Family Travel may issue a warning, restrict participation in an activity, require separation from the group, or remove a Traveler when reasonably necessary to protect people, property, the group, or the operation of the trip.
Immediate removal may occur in response to violence, credible threats, serious harassment, illegal conduct, or another urgent safety concern.
A removed Traveler is responsible for their own transportation, accommodation, meals, and onward travel. No refund or credit is required for unused services when removal results from the Traveler’s conduct, subject to applicable law.
Travelers are responsible for loss or damage they cause to accommodations, vehicles, equipment, or other property, including reasonable repair, replacement, cleaning, or other charges assessed by the affected supplier.
12. Cancellation by Chosen Family Travel
Cancellations and refunds are governed by the separate Cancellation and Refund Policy in effect on the booking date.
Chosen Family Travel may cancel a trip before departure because of:
failure to reach the minimum group size;
loss or unavailability of essential accommodations or services;
a material supplier failure;
safety or security concerns;
severe weather, natural disaster, public-health emergency, civil unrest, government action, border closure, or transportation disruption;
illness or incapacity of essential personnel when no reasonable replacement is available; or
another event that makes operating the trip illegal, unsafe, impossible, or commercially impracticable.
If Chosen Family Travel cancels the trip before departure for any reason, including force majeure or failure to reach the minimum group size, all amounts paid directly to Chosen Family Travel for the canceled trip will be refunded.
When offered, a Traveler may voluntarily choose to apply the amount paid to another Chosen Family Travel trip. A Traveler will never be required to accept a credit instead of an available refund.
Refunds will be initiated promptly and within the time required by Washington law. Funds still held by Chosen Family Travel will ordinarily be refunded within 14 days. Amounts awaiting return from a supplier will be refunded promptly after receipt from that supplier.
Chosen Family Travel is not responsible for reimbursing airfare, points, visas, insurance premiums, independent lodging, lost wages, childcare, or other arrangements purchased separately by the Traveler. Travelers are therefore advised to wait for written trip confirmation before purchasing nonrefundable arrangements and to consider comprehensive travel insurance.
13. Traveler Cancellation, Changes and Transfers
Traveler-requested cancellations and refunds are governed by the separate Cancellation and Refund Policy in effect on the booking date.
A cancellation is effective when Chosen Family Travel receives a clear written cancellation request at:
The effective date is the date the request is received. A phone call, text message, social-media message, or communication to a guide or another participant does not constitute formal cancellation unless Chosen Family Travel confirms acceptance of that notice in writing.
Unless otherwise provided in the Cancellation and Refund Policy, no refund is due for:
late arrival or early departure;
missed or voluntarily unused activities;
failure to arrive;
denied boarding or entry;
incomplete travel documents; or
other services the Traveler chooses not to use.
A Traveler may request to transfer a booking to another eligible person. Transfers require written approval and may depend on timing, supplier permission, rooming availability, completion of required forms, and payment of disclosed nonrecoverable supplier costs.
Bookings may not be resold or advertised for resale.
Any supplier-imposed cancellation or change charge that may be deducted from a Traveler’s refund must be disclosed in the Cancellation and Refund Policy, booking confirmation, or payment statement as required by applicable law.
14. Itinerary Changes, Suppliers and Independent Activities
Travel requires reasonable flexibility. The itinerary, activity order, accommodations, guides, transportation, restaurants, venues, and event access may change because of availability, weather, closures, local events, strikes, safety concerns, supplier changes, or circumstances outside our reasonable control.
Chosen Family Travel may make reasonable changes when the overall character and value of the trip are substantially preserved.
A minor change—such as a change in timing, activity order, restaurant, guide, venue, local transportation, or comparable accommodation—does not entitle a Traveler to cancel outside the normal Cancellation and Refund Policy.
If a change before departure materially alters a central feature of the trip, we will notify affected Travelers and, when reasonably available, offer an appropriate alternative, price adjustment, credit, or cancellation option.
Accommodations, drivers, transportation companies, restaurants, guides, venues, instructors, and activity operators may be independent suppliers rather than employees of Chosen Family Travel. Suppliers may impose reasonable safety requirements, operating rules, waivers, and cancellation terms.
Activities or services independently selected by a Traveler during free time are undertaken at the Traveler’s own expense and risk, even when mentioned or recommended by a host, guide, supplier, or another Traveler.
Travelers are responsible for returning to scheduled meeting points on time.
15. Privacy, Photography and Personal Information
Chosen Family Travel may collect contact, identification, passport, emergency-contact, dietary, accessibility, and limited health-related information necessary to administer the booking, operate the trip, respond to emergencies, and provide requested accommodations.
Personal information is collected, used, stored, protected, and shared in accordance with Chosen Family Travel’s Privacy Policy.
Health-related information will be limited to information reasonably necessary for the requested service, accommodation, or emergency response. Access will be restricted to people who reasonably need the information for those purposes.
Where separate consent is legally required to collect or share consumer health data, Chosen Family Travel will request that consent through a separate form rather than through general acceptance of these Terms.
Photography and promotional use of a Traveler’s identifiable image are governed by a separate, optional media-consent form. A Traveler may decline promotional use of their identifiable image without being excluded from the trip.
Regardless of media consent, Travelers must respect the privacy, consent, and safety of other participants.
16. Personal Property and Emergencies
Travelers are responsible for their passports, money, luggage, phones, medication, documents, and other personal property.
Chosen Family Travel is not responsible for property that is lost, stolen, delayed, forgotten, confiscated, or damaged, except to the extent directly caused by Chosen Family Travel and recoverable under applicable law.
Travelers should use available locks, safes, luggage identification, and appropriate insurance.
In an emergency, Chosen Family Travel may take reasonable steps to seek medical, transportation, security, or other assistance and may contact the Traveler’s listed emergency contact.
The Traveler is responsible for costs associated with medical care, medication, ambulance service, emergency transportation, evacuation, repatriation, additional accommodation, or related assistance.
Chosen Family Travel cannot guarantee the availability, response time, accessibility, or standard of medical services in the destination.
17. Complaints and Problems
Travelers should promptly report problems to the trip host or designated contact during the trip so that Chosen Family Travel has a reasonable opportunity to help.
An unresolved complaint should be submitted in writing to hello@chosenfamilytravel.com within 30 days after the trip ends.
This request does not shorten or waive any nonwaivable legal deadline or consumer right.
18. Responsibility and Events Beyond Our Control
To the fullest extent permitted by law, Chosen Family Travel is not responsible for loss, delay, expense, disruption, injury, or damage caused by:
the Traveler’s own act, omission, health condition, or failure to follow reasonable instructions;
another Traveler;
an independent supplier;
denied boarding or entry, passport or visa problems, or government action;
airline or transportation changes;
independently purchased or undertaken services; or
an event Chosen Family Travel could not reasonably prevent or control.
An “event beyond our control” may include natural disaster, extreme weather, fire, flood, epidemic, public-health emergency, war, terrorism, civil unrest, strike, transportation shutdown, border closure, government action, utility failure, or a supplier failure caused by such an event.
Chosen Family Travel may reasonably change, postpone, suspend, or cancel affected services when such an event makes the planned arrangements illegal, unsafe, impossible, or materially impracticable.
If Chosen Family Travel cancels the trip before departure because of an event beyond its control, the full-refund promise in Section 12 applies.
Nothing in these Terms excludes or limits liability for gross negligence, willful misconduct, fraud, or another liability that cannot legally be excluded.
Travelers may also be required to sign a separate assumption-of-risk and liability waiver before participating.
19. Governing Law and Dispute Resolution
These Terms are governed by the laws of the State of Washington, without regard to conflict-of-law principles, except where another jurisdiction’s nonwaivable law applies.
Before filing a legal claim, the Traveler and Chosen Family Travel agree to make a good-faith effort to resolve the dispute through written notice and direct discussion.
Any legal action shall be brought in a court of competent jurisdiction, subject to applicable law.
Nothing in this section prevents either party from bringing an eligible claim in small-claims court or exercising a nonwaivable consumer right.
Traveler Acknowledgment and Electronic Acceptance
The Traveler’s full legal name, preferred name, applicable trip, and electronic acceptance will be collected and recorded through the booking checkout.
By checking the required acceptance box and submitting the booking, the Traveler confirms that they:
have read and understood these Booking Terms and Conditions;
have reviewed and agree to the separate Cancellation and Refund Policy;
have reviewed the trip description, inclusions, exclusions, and payment schedule;
understand that a deposit reserves a place but does not guarantee that the minimum group size has been reached;
understand that they should not purchase nonrefundable airfare or other independent travel arrangements before receiving written trip confirmation;
agree to comply with the Community Conduct requirements;
understand that international travel involves inherent risks; and
have had an opportunity to ask questions before making payment.
Required checkout acceptance:
By checking the box and submitting the booking, the Traveler intends to provide an electronic signature and agrees to conduct the transaction electronically.
